Keep your compliance data accurate without the admin. You can link a compliance record directly to a work order. This requires the contractor to upload the specific certificate you need before they can complete the job. Once they upload it, your Compliance Tracker updates instantly.
Why use this feature?
Save time: Stop moving documents from A to B. We’ve removed the need to manually download and re-upload files. This saves your team hours of data entry every week.
Get real-time accuracy: Usually, there is a delay between a job finishing and your dashboard turning green. Now, the moment the contractor uploads the valid certificate, your compliance status updates.
Automate your renewals If you use Automated Renewals, you can set this up once and forget about it. The system will raise the job, dispatch it, collect the certificate, and update your compliance rating without you lifting a finger.
How to request a record
You can add this requirement in a draft, tendering or in progress work order, as long as there is no Completion report yet:
On a draft Work Order: Go to the Additional requests section. Click the plus sign (
+) next to Compliance Record and select the document type (e.g., LGSR, EICR).
On an active Work Order: You can add the request at any time before the contractor submits their completion report, head over to Compliance records section and select
+ Request recordor go to Description section and add it fromAdditional requestssection. Contractor(s) will receive a notification immediately.
What happens next?
The contractor sees that it is mandatory to upload the compliance record as part of the job.
When contractor uploads the certificate:
The document automatically attaches to the Completion Report
The relevant Compliance Tracker automatically updates with the new record (you can edit this for the next 30 days)
The Record Activity Log records the update automatically so you know what information was filled in by the contractor and if it gets overridden
Automate your compliance renewals
You can set this up once and let the system handle the rest.
If you use Automated Renewals, simply update your Work Order Template inside your Compliance workflow to include the Link Compliance Record option.
When a certificate is due to expire, the system will:
Raise the work order automatically
Dispatch the work order automatically to selected contractor(s)
Include the mandatory record upload requirement to contractor
Update your compliance tracker once the work is done
This makes the entire renewal cycle hands-off. You don't need to manually edit work orders or chase results.
Frequently Asked Questions
Can I add a compliance request to a work order I already dispatched?
Yes. As long as the contractor hasn't submitted their completion report, you can add the request. The contractor will receive a notification that the job requirements have changed.
What happens if the contractor forgets to upload the document?
They can't. The system "gates" the job, meaning the contractor cannot tap Complete until they have uploaded the specific document you requested.
Does this work with my existing automated workflows?
Yes. You can update your Work Order Templates in your Renewal Settings to include "Link Compliance Record". Future automated jobs will include this requirement by default.
