Contractor Compliance Policy

1. Purpose of this Document

Plentific’s Contractor Compliance Policy outlines some of the standards and expectations contractors must meet whilst using Plentific’s marketplace and/or providing services to Plentific clients. It includes guidelines on acceptable conduct, prohibited activities, and measures to maintain a professional, reliable, competitive and transparent marketplace (Marketplace Principles). Compliance with these guidelines is mandatory; violations may result in account suspension or termination of Plentific’s agreement with a contractor. Notwithstanding this policy, Plentific reserves the right at any time, at Plentific’s sole discretion, to suspend or terminate our agreement with a contractor for any behaviour Plentific considers contrary to the Marketplace Principles, even if not explicitly set out in this policy.

2. Prohibited Activities

2.1 Use of Bots or Other Automated Tools

  • Contractors are strictly prohibited from using bots or other automated tools on the Plentific platform. This includes the use of ChatGPT to assist with quote wording.

  • Policy: Accounts suspected of using bots and/or any form of automation to undertake any action on the Plentific Platform will be suspended and at Plentific’s discretion, terminate any agreement in place with the contractor.

2.2 Lead Farming

  • Generating leads for the sole purpose of obtaining or reselling client information, without genuine service intent, is not permitted.

  • Policy: Contractors who are suspected of engaging in lead farming will face immediate termination from the Plentific platform.

2.3 Quoting behaviour

  • Contractors are expected to submit quotes promptly after expressing interest in a job.

  • Policy: Contractors are required to maintain a quoting accuracy rate by ensuring that no more than 15% of jobs they shortlist go unquoted. Exceeding this threshold negatively impacts marketplace efficiency and may lead to performance reviews, limitations on job access, and/or account suspension.

2.4 Overuse of site visits

  • Contractors are prohibited from using site visits for more than 75% of quotes they submit.

  • Policy: Site visits should only be used when there is an inadequate description, i.e lack of measurements, photos, spec and other details. This will be monitored to ensure fairness and accuracy on the marketplace and to ensure the facility is not abused Overuse of site visits may lead to account suspension.

2.5 Use of Subcontractors

  • Contractors must ensure that all subcontractors are properly vetted, listed on the platform, and operate in a compliant manner.

  • Policy: No more than 10% of work may be subcontracted. The primary contractor registered on Plentific will be held accountable for any breaches of terms and conditions resulting from subcontractor actions. A breach by a subcontractor may result in suspension for the contractor as contractors remain responsible for their subcontractor’s compliance.

2.6 Work load on Plentific

  • Contractors are expected to diversify their work sources and should avoid relying on Plentific for 100% of their workload.

  • Policy: Contractors must maintain a balanced workload from multiple sources. Relying solely on Plentific for services may lead to review, as a diverse client base ensures resilience. Complete reliance on Plentific will not justify lifting a suspension.

3. Service Level Agreements (SLAs)

3.1 SLA Commitments

Contractors must meet the agreed SLAs, including response times, job completion deadlines, and regular progress updates.

  • Response Time: Contractors will acknowledge job assignments within 48 hours.

  • Completion Deadlines: Routine jobs must be completed within 14 days (unless a documented different arrangement with the client exists). Urgent jobs must be completed within 4 hours of being allocated the job.

  • Progress Updates: All job progress updates must be shared within 48 hours of each action to ensure transparency and compliance with completion time targets. For example, once hired for a job, ensure an appointment is booked within 48hrs with the tenant.

Consequences: Repeated SLA non-compliance may result in penalties or removal from the platform.

3.2 Monitoring of SLA Compliance

  • Plentific will regularly monitor SLAs, and contractors who consistently fail to meet SLAs may undergo performance reviews, receive warnings, or face account suspension.

4. Reviews and Feedback

4.1 Review Process

  • Contractors are encouraged to maintain a high standard of service and to receive positive reviews from clients.

  • Contractors must not attempt to manipulate the review system or solicit specific ratings through compensation or incentives. Any evidence of this will be treated as behaviour leading to permanent removal from the platform.

4.2 Responding to Reviews

  • Contractors are expected to handle reviews professionally. If a response is required we expect contractors to be respectful.

4.3 Complaint Resolution

  • Any complaints should be addressed according to our Complaints policy, prioritising client satisfaction. Contractors who fail to resolve complaints or address feedback may undergo further review, receive warnings and face account suspension.

5. Code of Conduct

5.1 Professionalism

  • Contractors are expected to maintain professionalism at all times, including prompt communication, courteous interactions, and respectful conduct.

5.2 Transparency

  • Contractors must be honest in all interactions, provide accurate information, and disclose any potential conflicts of interest.

5.3 Respect for Client Privacy

  • Contractors must protect client confidentiality, handling all client data responsibly and in line with Plentific’s data protection policies.

6. Fraudulent Activities

6.1 Misrepresentation of Services or Identity

  • Providing false or misleading information regarding skills, qualifications, or availability is strictly prohibited. Contractors must regularly review and update their information and documents to ensure accuracy.

6.2 Fraudulent Billing

  • Inflating billing, misrepresenting work completed, or invoicing for unrendered services is considered fraud.

6.3 Tax Matters

  • VAT registered contractors must account to HMRC for any VAT due on services provided on the Plentific platform and must fully comply with tax obligations in connection with the use of Plentific services including the collection, reporting, filing and payment of any and all applicable taxes and other governmental assessments.

6.4 Consequences

  • Non-compliance with the above will result in immediate termination from the Plentific platform, reporting to the relevant authorities and may lead to legal action.

7. Association with Other Accounts/Multiple Accounts

7.1 Prohibition of Account Sharing

  • Contractors must not share their Plentific accounts with other individuals or entities. Each account should represent a single, verified business entity or individual.

7.2 Association with Multiple Accounts

  • Contractors are not permitted to operate multiple accounts without Plentific’s prior approval. Any association with other accounts that are unauthorised will result in suspension.

8. Non-Compliance and Disciplinary Action

8.1 Warning System

  • Plentific uses a tiered warning system to address contractor non-compliance:

    • Level 1: Informal Warning

    • Level 2: Formal Warning

    • Level 3: Suspension or Removal

8.2 Immediate Suspension or Termination

  • Certain violations, including but not limited to fraudulent activity, lead farming, or automation usage, may result in immediate account suspension without prior warning or a right to appeal.

8.3 Right to Appeal

  • Except in the circumstances described in 8.2, contractors may appeal any suspension or disciplinary action by contacting Plentific’s support within 10 working days of the decision.

This policy is subject to change in accordance with Plentific Contractor Terms and Conditions, laws and regulations, processes and other factors.
