How can I bulk import appointments?

If you have a list of appointments to schedule in one go, then we have a useful 'import appointments' feature.

The steps to use this feature are as follows:

  • Select 'Appointments' from the left hand side menu and then click on ‘Manage Appointments’ from the dropdown menu.

  • Click on the 'Import Appointments' button located in the grey banner.

There's a helpful list and links to guide you through the process step-by-step.

  • First, click the 'Download Template' button in the grey banner. This will download the spreadsheet format that you need to use to create the list of appointments.

    • Note: the 'Help' button is useful to review the information and format required.

  • Use the spreadsheet to add the TouchRight Property IDs, Report Template IDs, Report Name IDs and Inspector IDs and date/time for the appointments.

    • Note: it is important to add the correct IDs (numbers) as only the IDs can be recognised and matched when the spreadsheet is uploaded.

    • However, property address, user names etc. can be left on the CSV for reference. These columns will be ignored when uploaded.

  • All of the IDs are available in the dashboard in the relevant screens:

    • Property IDs can be viewed for each property on the Manage Properties page OR you can click the 'Download CSV' button to export the full list of TouchRight properties, which will include the TouchRight Property IDs (account owners only).

    • Report Template IDs, Report Name IDs and Inspector IDs can all be located on each page, using the links.

    • Note: please make sure you leave the template column headings in the spreadsheet and the date/time information is formatted correctly (dd/mm/yyyy hh:mm).

  • Download the completed spreadsheet from your computer in CSV format.

  • Click the 'Choose File' button to attach the CSV file.

  • Click the 'Import' button in the grey banner.

If there are any errors in the CSV file, those appointments will not be uploaded and error details will be displayed so that you can make any corrections before uploading the data again.

Good news - once the first bulk import has been done, you can store the spreadsheet and potentially re-use it again for speed (using the same template ID/user IDs etc.).
