SME Professional - how do I use it with TouchRight?

TouchRight integrates with SME Professional, one of the market leading property management solutions.

SME Professional is not only designed for the professional management of a property portfolio – it is a solution to help efficiently manage many aspects of a letting agent’s business. The SME Professional goal is to simplify operations to allow an agent to spend more time growing their business.

What does the connection allow?

SME Professional offers market leading property management solutions designed to help letting agents and landlords efficiently manage many aspects of their business.

  1. Property, tenant and landlord information will flow and update from SME Professional to TouchRight, without the need to duplicate information.

  2. Links to final reports will be available in SME Professional.

How to use the integration

Once set up, property information will seamlessly flow from SME into TouchRight:

  • Once connected, a ‘Sync with Back Office Provider’ button will be available on the Properties page in TouchRight, which will allow you to choose from a list of all available properties in SME Professional that can be synced into TouchRight, so you can decide which property records you want to pull across, or use the ‘Select All’ button. Landlord and/or tenant details will also sync across, and any existing properties in TouchRight will also be updated.

  • Once the property record is in TouchRight, you can click the ‘Schedule’ button to schedule your property visit, selecting the SME report type, report name, date/time and template accordingly, and then sync it to the TouchRight app.

  • You can then visit the property and complete a report using the TouchRight app, sync it back from the app to the TouchRight dashboard, edit and check the report before finalising and generating a PDF report.

  • Once the report is finalised, a link to that report will automatically be available in SME Professional
    within the 'View' menu under 'Inspection Reports'.

'Matching' properties

If you have added any properties manually in TouchRight, then those properties can be 'matched' with SME Professional to avoid duplicates - please click the 'Match Properties' button in the Properties screen, to start this process. Properties will either be listed as:

  • Unmatched - click the pencil icon to find an SME Professional property to match to. This should be done on any 'unmatched' properties, before clicking the 'Confirm' button.

  • Partially Matched - this means that a suggested match has been made - if the suggestion looks correct them click the 'Confirm' button.

  • Already Matched - nothing needs to be done, as these properties have successfully matched.

A few of the finer points...

  • Updating tenant and landlord details - once a property is added in TouchRight, every time you schedule an appointment or create a report in TouchRight, the property, tenant and landlord details will checked with SME Professional and updated in TouchRight.

  • Types of tenancies - the following tenancy types will be pulled across from SME and updated:

    • “In residence – renewing”

    • “In residence – periodic”

    • "Awaiting tenancy"

  • Sync buttons - there are useful 'Sync' buttons on the following items, so that if details change in SME Professional, they can be updated in TouchRight at the press of a button:

    • Properties

    • Tenants

    • Landlords

    • Tenancies

  • Tenancy dates

    • Generating tenancy dates:TouchRight uses the “Move In Date” and “Move Out Date” in SME.

      • As a failsafe if no tenancy dates can be found in SME, TouchRight uses the current date as the start date.

      • The "move out date" in SME is used to end a tenancy in TouchRight, regardless of the tenancy status.

    • Move-in dates: when a new tenancy is synced to TouchRight, the tenant’s move in dates are reviewed and the earliest one that is found is used as the new tenancy start date.

    • Move-out dates: TouchRight retrieves the earliest future move out date and that is used as the new tenancy end date. If no move out dates are set then TouchRight doesn't set a tenancy end date.

    • Ending tenancies:when a new tenancy is synced over, the previous tenancy is ended.

      • TouchRight retrieves the previous tenant details from SME and the latest move out date that is available, and uses that as the previous tenancy’s end date.

      • If there are no move out dates set (for example no tenants from the previous tenancy moved out but someone new moved in) then TouchRight uses the earliest move in date of the new tenants as the previous tenancy’s end date.

    • Updating tenancies: when an existing tenancy is updated in TouchRight, the process is the same as for a new tenancy (earliest move in dates and move out dates in SME are used for start date and end date respectively) but TouchRight doesn’t make any changes to the previous tenancy.

    • Multiple tenants: if there are two tenants against a tenancy in TouchRight, a move out date set against any tenant in SME would update the tenancy end date in TouchRight. The earliest move out date found set on the SME tenants is the one used in TouchRight.
